How do we access BPS?

BPS is a web based system so can be accessed from a web browser therefore gaining access is not limited to working within the school intranet.

BPS is compatible with most web browsers including Chrome, Internet Explorer and Safari.

How secure is BPS for our Academy?

BPS is hosted on dedicated servers in a co-located National Data Centre. Access to the servers is via an encrypted internet connection (https:) using individual username and secure password credentials generated by the system; every academy has its own unique login to its own database and website.

Can we easily amend key data such as employee pay scales, national insurance and superannuation rates?

The school Business Manager has all the controls to amend key data in BPS. As this happens infrequently, a call or email to our support desk and they will provide you with an instant update to your system.

What happens when the EFA change our funding statement for the following year?

BPS is designed to be configurable and therefore very little in the software program is ‘hard-coded’. The support desk will be able to instantly update and amend your EFA funding statement.

Our school Business Manager is busy. Is the initial setup of BPS easy?

A new version of BPS can be deployed in under a week. The ‘chart of accounts’ from the academy's finance system is mapped into BPS along with any relevant cost centres.

Our team will setup all the non-teaching contracts used by the academy (often NJC contracts). The deployment team can also help setup ‘academy contracts’ for non TUPE staff.

We are a large secondary academy with 100+ staff. Can we import our staff into BPS?

We can either import the staff from Excel or a csv export from payroll; or through a dynamic import routine, typically using the school's personnel system.

What happens when we move into a new financial year?

BPS is a clever planner!

When the new funding becomes available in May, the school can apply the next year EFA statement and attach this to the following year's staffing and other expenditure costs in BPS and run this year's and next year's budgets in parallel.

How many users can we allow to access the system?

There is no limit to the number of users that can access BPS as long as the academy has a current licence. For example, the school Business Manager can adjust the access rights to a specific group of users e.g. governors. 

These access rights can restrict the available areas of the program, for example, the Business Manager could restrict governers logins to only access the budget reports and; access rights can further be restricted to 'read only'.

How much does BPS cost?

BPS for academies is priced on an annual licence fee which includes hosting and support costs.
